A security incident report is more than paperwork — it's a legal document. Proper incident documentation protects your agency, your client, and your guards. It's also essential for insurance claims, police investigations, and compliance audits.

What to Include in a Security Incident Report

Every incident report should capture these elements:

1. Basic Information

  • Date and time of the incident
  • Location (site name, specific area within the site)
  • Reporting guard's name and ID
  • Report number (sequential for tracking)

2. Incident Details

  • Type of incident (theft, trespassing, vandalism, medical emergency, fire, etc.)
  • Description — What happened, in chronological order
  • Persons involved — Names, descriptions, ID details if available
  • Witnesses — Names and contact information

3. Response Actions

  • Immediate actions taken by the guard
  • Authorities contacted (police, fire department, ambulance)
  • Client/supervisor notification time and method

4. Evidence

  • Photographs of the scene, damage, or suspicious items
  • CCTV footage reference (camera ID, time range)
  • Physical evidence preserved and handed over
